Manage Participants

Roles:
AgentAdministrator

Managing participants involves adding them to sequences, monitoring their progress, completing actions, and removing them when appropriate. This article provides an overview of participant management capabilities.

Adding Participants

Participants can be added to sequences through:

  • Manual addition: From individual Lead or Contact records
  • Bulk addition: From Salesforce list views
  • Automatic addition: For automatic sequences when records meet entrance criteria

See Add and Remove a Participant for detailed instructions.

Viewing Participants

You can view participants in several ways:

  • Participants tab: Comprehensive view of all participants
  • Sequence detail page: Participants for a specific sequence
  • Individual records: Guided Selling component on Lead/Contact pages
  • Salesforce reports: Custom reports for analysis

See View Participants in a Sequence for more information.

Managing Participant Actions

From various views, you can:

  • Complete actions: Mark actions as done when finished
  • Skip actions: Defer actions that aren’t relevant
  • Reschedule actions: Change the timing of actions
  • View action details: See full information about each action

Removing Participants

Participants can be removed from sequences when:

  • They meet exit criteria (automatic)
  • They complete all actions (automatic, if enabled)
  • They’re manually removed by a user
  • The sequence is deleted
  • Other exit conditions are met (email replies, record merges, etc.)

See Tracking Sequence Exits for details on exit conditions.

Participant Overview Module

On Lead and Contact page layouts, the Guided Selling component (Participant Overview Module) displays:

  • Current sequence association
  • All actions (past, present, and future)
  • Action status and progress
  • Options to manage actions

This component provides participant-specific actions and comprehensive action display, including all sequence actions.

Best Practices

  • Regularly review participants to ensure they’re still qualified
  • Monitor participant progress through sequences
  • Remove participants promptly when they no longer qualify
  • Use bulk operations for efficiency when managing many participants
  • Track exit reasons to optimize sequences
  • Review sequence metrics to understand participant behavior
